This Privacy Policy explains how Prompt2File ("Prompt2File", "we", "us", or "our") collects, uses, stores, processes, shares, protects, and deletes personal information, uploaded files, payment-related information, project metadata, and AI-generated outputs when users access our website, dashboard, AI tools, upload flows, payment flows, and related services. By using Prompt2File, creating an account, uploading a file, submitting data, purchasing a one-time service, starting a subscription, or otherwise interacting with the platform, you acknowledge that you have read and understood this Privacy Policy.
Scope of This Policy
This Policy applies to: Prompt2File website pages, login pages, dashboard pages, upload forms, checkout flows, admin systems, and user account pages. AI-powered services such as PDF translation, patent translation, Excel model generation, technical summaries, document analysis, and related digital outputs. Files, forms, documents, metadata, usage logs, payment confirmations, and service records submitted or generated through the platform. This Policy does not apply to third-party websites, payment pages, AI providers, authentication providers, cloud infrastructure providers, or other external services that operate under their own privacy policies and terms.
Information We Collect
Account and Profile Information: When you create an account or sign in, we may collect your name, email address, profile image, authentication identifiers, account status, language preference, and related login metadata. Uploaded Files and User Content: We may collect and process files and content you upload, including PDFs, patent documents, spreadsheets, text, images, forms, financial assumptions, project inputs, prompts, comments, instructions, and any related materials submitted for processing. Project and Service Metadata: We may collect project status, selected service type, source and target language, estimated page count, file size, processing stage, pricing tier, checkout state, payment status, output links, download status, error logs, retry logs, and support history. Payment and Billing Information: Payments may be processed by external payment providers, including Paddle or other providers selected by Prompt2File. We generally do not store full credit-card numbers. We may store payment status, product purchased, transaction ID, subscription status, invoice or receipt references, refund status, and billing metadata needed to operate the service. Technical, Security, and Usage Data: We may collect IP address, browser type, device type, operating system, session data, timestamps, pages viewed, buttons clicked, upload errors, API errors, system logs, fraud signals, security alerts, and diagnostic data.
Why We Use Your Information
To create and manage user accounts. To receive, temporarily store, validate, and process uploaded files. To generate quotes, pricing summaries, previews, AI outputs, translations, reports, and downloadable files. To process payments, confirm purchases, manage subscriptions, handle refunds where applicable, and prevent payment abuse. To operate dashboards, project history, download links, admin tools, audit logs, and support workflows. To maintain security, detect suspicious activity, prevent fraud, investigate abuse, debug errors, and protect the platform. To comply with legal, tax, accounting, contractual, and regulatory obligations. To improve the service, user experience, reliability, and performance.
External Infrastructure and Third-Party Processors
Prompt2File is built on and relies on external service providers. Your information, uploaded files, metadata, payment status, and generated outputs may be stored, transmitted, processed, backed up, logged, or secured by third-party infrastructure and software providers. These providers may include: Lovable (including Lovable Cloud, managed database, authentication, storage, functions, AI gateway, deployment tools); Paddle or other payment/merchant-of-record providers; AI model providers such as Anthropic, OpenAI, or other AI API providers; and cloud hosting, storage, logging, analytics, email, notification, security, monitoring, and support providers. By using Prompt2File, you understand that your information may be processed by these third-party systems and may be stored on servers outside your country of residence. To the fullest extent permitted by law, Prompt2File is not responsible for outages, breaches, security incidents, data loss, unauthorized access, operational failures, legal requests, or policy changes caused by or occurring within third-party platforms.
AI Processing and Uploaded Documents
When you submit documents for AI processing, your content may be sent to AI providers or AI gateway services for extraction, analysis, translation, summarization, classification, formatting, or output generation. We aim to process only what is reasonably required to provide the selected service. You should not upload highly sensitive, confidential, classified, regulated, privileged, medical, financial, biometric, children's data, trade secrets, or third-party confidential materials unless you have the legal right and authority to do so and accept the risks involved in third-party processing. Unless expressly stated otherwise in writing, Prompt2File is not a secure vault, regulated data room, legal discovery platform, medical-records platform, banking platform, government-security platform, or confidential patent-filing platform.
Cybersecurity, Data Breaches, and Limitation of Responsibility
We take reasonable measures intended to protect the platform and user data, such as access controls, authentication, role-based permissions, storage policies, audit logs, deletion policies, and reliance on reputable external infrastructure providers. However, no website, cloud service, AI platform, payment system, database, authentication flow, file-storage system, email system, API connection, or internet transmission can be guaranteed to be completely secure. To the fullest extent permitted by applicable law, Prompt2File disclaims liability for unauthorized access, cyberattacks, data breaches, data loss, data corruption, service interruptions, identity theft, payment-provider incidents, third-party infrastructure failures, AI-provider incidents, or damages arising from events beyond our reasonable control. If we become aware of a security incident that legally requires notification, we will attempt to provide notice in accordance with applicable law and available contact information. Notification does not constitute an admission of fault or liability.
User Responsibilities for Security
Users are responsible for maintaining the confidentiality of their account, password, login method, email account, connected identity provider, devices, and any credentials used to access Prompt2File. You agree to: use a secure email account and strong authentication where available; log out from shared devices; avoid uploading malicious files, scripts, or executable content; immediately notify us if you suspect unauthorized access to your account; and download and back up your outputs promptly, because storage is not guaranteed indefinitely. Prompt2File is not responsible for losses caused by compromised user accounts, weak passwords, shared devices, email compromise, phishing, or user-side security failures.
File Retention and Deletion
Prompt2File may automatically delete unpaid uploads, expired inputs, outputs, temporary files, abandoned projects, logs, or related records according to internal retention rules. For example, the platform may delete input files after a defined short period and output files after a longer but limited period. Retention periods may change from time to time based on technical, legal, operational, privacy, or cost considerations. Users should not rely on Prompt2File as permanent storage. When files are deleted from the active system, residual copies may temporarily remain in backups, logs, cache layers, external provider systems, or disaster-recovery systems until they expire according to provider retention cycles.
Account Deletion
Users may be able to request or initiate account deletion. Account deletion may remove or anonymize account records, files, outputs, and project history, subject to operational, legal, billing, fraud-prevention, tax, accounting, and dispute-resolution retention requirements. Certain records may be retained when necessary to comply with law, defend legal claims, prevent fraud, manage chargebacks, document payments, enforce our Terms of Use, or maintain audit integrity.
Sharing of Information
We do not sell your uploaded documents as a standalone product. We may share information when necessary to operate, secure, bill, support, or improve the service. This may include sharing with: infrastructure providers such as Lovable; AI providers and AI gateways for document processing; payment and billing providers such as Paddle; email, support, logging, analytics, monitoring, fraud-prevention, and security providers; and professional advisors, accountants, lawyers, auditors, insurers, or authorities where legally required or reasonably necessary. We may disclose information if required by law, court order, government request, tax authority, regulatory obligation, fraud investigation, dispute, chargeback, or to protect our rights, users, systems, or the public.
International Transfers
Because Prompt2File uses online infrastructure and third-party providers, your information may be transferred to, stored in, or processed in countries other than your country of residence. These countries may have privacy, security, surveillance, or data-protection laws that differ from your local laws. By using the service, you acknowledge and accept that such international processing may occur as part of providing a global online AI service.
Cookies, Analytics, and Tracking
Prompt2File may use cookies, local storage, session tokens, analytics tools, authentication cookies, fraud-prevention signals, and similar technologies to operate the website, remember preferences, secure accounts, measure performance, debug errors, and improve the service. Some cookies or tracking technologies may be provided by third parties. Browser settings may allow you to block some cookies, but doing so may limit functionality.
Data Accuracy and AI Output Disclaimer
The content you provide and the AI-generated outputs may contain inaccuracies, formatting errors, translation errors, omissions, hallucinations, incorrect calculations, or outdated information. Prompt2File does not guarantee that any AI-generated output is accurate, complete, legally valid, financially reliable, technically correct, or fit for a specific purpose. Users are solely responsible for reviewing all outputs before using, publishing, filing, sharing, submitting, relying on, or making decisions based on them.
Sensitive Information
Users should avoid uploading sensitive personal information unless strictly necessary and legally permitted. This includes identity documents, health information, children's information, financial account details, passwords, trade secrets, confidential legal materials, privileged communications, and regulated records. If you upload sensitive information, you do so at your own risk and confirm that you have the legal authority to submit it for processing by Prompt2File and its external service providers.
Children
Prompt2File is not intended for use by children. Users must be old enough to enter into a legally binding agreement under the applicable law in their jurisdiction. We do not knowingly collect personal information from children through the platform.
Your Rights
Depending on your location, you may have rights to access, correct, delete, restrict, object to, or receive a copy of certain personal information. Users should not upload materials that require a level of confidentiality, security, compliance, or retention that Prompt2File has not expressly agreed to provide in writing.

We may update this Privacy Policy from time to time. The updated version will be posted on the website with a revised "Last updated" date. Continued use of the service after an update means you acknowledge the updated Policy.
